1. Who we are

The official website www.eemusic.ro is administered by:

  • ARTmania Events S.R.L. (Tax ID RO26020184, J32/778/2009, headquartered in Sibiu)
  • ARTmania Cultural Association (Tax ID RO28965621, headquartered in Bucharest)
  • ARTmania Agency S.R.L. (Tax ID RO28502830, headquartered in Bucharest)

(collectively referred to as „the Organizer”)

We are committed to protecting the personal data of our users and complying with the provisions of Regulation (EU) 2016/679 on data protection (GDPR) and Law no. 190/2018.

2. What data we collect

We collect the following categories of personal data, depending on how you interact with us:

Identification and contact data:

  • First and last name
  • Email address
  • Phone number
  • Identification data (in case of ticket purchase: CNP, ID card series and number, only when necessary)

Technical and browsing data:

  • IP address and location data (through cookies)
  • Browsing data (pages visited, time spent, browser used)
  • Device information (operating system, screen resolution)
  • Cookies and unique identifiers

Multimedia data:

  • Image and voice (through photo-video materials created at the Festival)

Payment data:

  • Payment details (processed through our partners via NETOPIA mobilPay, without being stored directly by us, only transaction references)

3. How we collect data

Data is collected:

  • when you create an account or purchase tickets/season passes;
  • when you subscribe to the newsletter;
  • when you contact us via email or form;
  • when you browse our website (cookies and analytical tools);
  • during the Festival, through video/photo captures or forms completed on-site (e.g., for minors, persons with disabilities).

4. Processing purposes

We process your data for the following purposes:

  • processing ticket orders;
  • sending confirmations, notifications and information related to the Festival;
  • compliance with legal obligations (accounting, tax reporting, etc.);
  • event promotion (photo-video materials, social media);
  • security and fraud prevention;
  • improving your online experience (analytics and cookies);
  • organizational and informative communication with the public.

5. Legal basis for processing

Your data is legally processed based on:

  • Your explicit consent (newsletter, marketing cookies, photos/videos for promotional purposes)
  • Contract execution (processing ticket orders, event-related communications)
  • Legitimate interest of the organizer (security, fraud prevention, service improvement)
  • Legal obligations (accounting, tax reporting, cooperation with authorities)

6. Who has access to data

We may share your data only when necessary, with:

Technical service providers:

  • Payment processors: NETOPIA mobilPay and other authorized processors
  • Ticketing platforms: iabilet.ro, livetickets.ro, eventim.ro
  • IT service providers: hosting, backup, website maintenance

Operational partners:

  • Security agencies and medical personnel (in the context of the event)
  • Collaborators involved in organizing the Festival (based on confidentiality agreements)
  • Marketing agencies: for advertising campaigns (only anonymized data)

Authorities:

  • Public authorities, if we have a legal obligation

We do NOT sell or rent your data to third parties.

7. How long we keep data

Specific retention periods:

  • Contractual and billing data: 10 years (according to the Tax Code)
  • Marketing data: until consent withdrawal + 1 year
  • Photo/video materials: 10 years for archive and promotion
  • Security logs: 2 years
  • Cookies: according to durations specified in the Cookie Policy

8. Your rights

You have the following rights, according to GDPR:

  • Right of access – you can request information about your data.
  • Right to rectification – you can request correction of inaccurate data.
  • Right to erasure – („right to be forgotten”) under certain conditions.
  • Right to restriction – you can request limitation of processing.
  • Right to object – you can object to processing for marketing purposes.
  • Right to portability – you can receive data in a structured format.
  • Right not to be subject to automated decision-making without consent.
  • Right to file a complaint – with ANSPDCP (www.dataprotection.ro).

9. Data security

We apply technical and organizational measures to:

  • prevent unauthorized access;

  • encrypt sensitive data in transit and at rest;
  • monitor and audit data access.

10. Cookies and similar technologies

Our website uses cookies for:

  • proper functioning;
  • traffic analysis;
  • marketing (e.g., Facebook Pixel, Google Ads, YouTube Embed).

11. International transfers

Some services (Google Analytics, Facebook, NETOPIA mobilPay) may involve data transfers to non-EU countries. These are done with adequate safeguards according to art. 46 GDPR, through:

  • European Commission adequacy decisions

  • Approved certifications and codes of conduct

12. Minor users

If you are under 16 years old, you need parental/guardian consent to use the site and for processing your personal data. Parents or guardians can contact the Organizer to exercise rights on behalf of minors.

13. Policy changes

We reserve the right to modify this Policy. We will publish the date of the last update on the site, and important changes will be communicated through:

  • notification on the main website
  • email to registered users (if the change affects them)

Changes will take effect from the date of publication on the site.
